This Privacy Policy sets out how VALICON Ltd. processes personal data.

This Privacy Policy applies to: (i) our website https://www.valicon.net/; (ii) the implementation of VALICON events and registrations for such events; (iii) communications regarding new features and our service offerings; (iv) enquiries about our services via email, telephone and forms on our websites; (v) our social media channels and applications; (vi) downloads of documents available on our websites; and (vii) your use of any other current or future, online or offline, VALICON service, technical support or offering (hereinafter (i) – (vii) collectively referred to as: Services).

This Privacy Policy does not apply to personal data obtained within the scope of research conducted by Valicon as part of its operations and within the scope of the Opinia.Club online panel.   1. We collect your personal data when you provide it to us, for example, through your use of our website and its features, when you contact us directly by email, telephone, in writing or via social media, when you order our services, or by any other means by which you provide personal data to us.

We may also collect your personal data from certain publicly available sources, including (but not limited to) public online databases, business directories, media publications, social media platforms, websites and other publicly accessible sources.

The information we collect about you may include, but is not limited to:

  • your first and last name;
  • your email address;
  • the company you currently work for or have worked for;
  • your business position within the company;
  • your telephone number.
  1. Purposes of Personal Data Processing:
    1. Preparation of Offers and the Conclusion and Performance of Contracts. The legal basis for processing is a contract. If you do not provide us with your personal data where necessary for this purpose, we will be unable to conclude or perform a contract with you or provide you with the products or services that you have requested.
    2. Management of VALICON’s Relationships with Current and Potential Clients We process data relating to the history of our customer relationships to improve business relations with clients, with a focus on customer retention and ultimately sales growth. This is necessary for our legitimate interests in better understanding our clients’ needs and effectively managing our business.
    3. We may also use your contact details for marketing purposes if we obtained your data through ordering a quotation or upon the conclusion of a contract, or if you have subscribed to our electronic newsletters and thereby given consent for e-marketing purposes, or if we obtained your data from publicly available sources. The legal basis for this purpose is either the exception under Article 226 of the Slovenian Electronic Communications Act (ZEKom-2) or your consent (upon your subscription to the newsletter).
    4. At events organised by Valicon, photography and video recording may take place, and content may be streamed online. Photographs and recordings may be published for the purpose of promoting the event. You will be informed about this prior to the event, either in the invitation or in the event announcement. Photography is performed professionally and in a manner that is not invasive with respect to an individual’s privacy. The processing of personal data is based on our legitimate interest.     5. Protection of Our Business and Legitimate Interests This includes purposes such as verifying credit and past experiences, preventing fraud and debt collection. Such processing is necessary to protect our legitimate interests in preventing criminal activities such as fraud or money laundering, ensuring that our website and Services are not misused, and safeguarding our business operations. These checks will only be conducted where permitted by law.
    6. Ensuring Physical, Network and Information Security and Integrity This is necessary for our legitimate interest in order to maintain a secure and uncompromised IT system and networks, including backup and archiving, prevention of malware, viruses, errors or other malicious codes, prevention of unauthorised access to our systems, and protection against all forms of attacks or damage to our IT systems and networks.

  2. VALICON will process your personal data to the extent that is relevant and limited to what is necessary for the purposes for which the data is processed. These purposes include, for example, whether it is necessary to continue retaining such data to fulfil our contractual obligations to you or for our legitimate interests; whether we have any legal obligation to continue processing your data, such as record-keeping requirements under applicable law; and whether we have a lawful basis to continue processing your personal data, such as your consent.
  3. In the course of processing personal data, certain processing activities or parts thereof may be entrusted to contractual processors with whom we have concluded a contractual processing agreement. These processors may process the entrusted data exclusively on our behalf, within the scope of authorisations set out in a written contract or other legal act, and in accordance with the purposes defined in this Privacy Policy. We cooperate with contractual processors from the following areas: email service providers, web hosting providers and providers of various IT services. Your personal data is stored by VALICON on its own servers.

For certain services, we may also disclose your personal data to potential project partners, supervisory authorities, or pursuant to a request from the judiciary. Under no circumstances will we disclose your personal data to unauthorised third parties.

If we transfer your personal data outside the European Economic Area (EEA), we will only do so after a careful review of the appropriate legal bases and safeguards, such as:

  • Standard Contractual Clauses adopted by the European Commission or by the Information Commissioner and approved by the European Commission in accordance with the applicable law;
  • code or codes of conduct prepared by an association or other body approved by the Information Commissioner;
  • other legal bases as provided for by the General Data Protection Regulation.

  • request the correction or deletion of your personal data;
  • request restriction of the processing of your personal data;
  • request to receive from us your personal data that you have provided to us in a structured and machine-readable format (for example, an Excel spreadsheet), and the right to transmit this data to another data controller;
  • object to the processing of your personal data for certain purposes, such as direct marketing, by clicking the unsubscribe link at the bottom of any marketing email we have sent you, or by sending an email to: [email protected]. If you object to direct marketing by a different communication method than the marketing messages you have received from us, you must provide us with your name and sufficient information enabling us to identify you in relation to the messages you have received (for example, if you received an SMS from us and wish to unsubscribe by email, you may need to provide your telephone number in that email); and
  • withdraw your consent to our use of your personal data where processing is based on your consent. If you withdraw your consent, this will not affect the lawfulness of our use and processing of your personal data based on your consent before the day you withdrew your consent. Due to technical limitations, the withdrawal of consent will be reflected in our systems within a maximum of 5 working days from receipt of the request.
